🤝 How to build rapport while maintaining professionalism
1. Be respectful
Always treat the other person with respect, even if you are building a friendly rapport. Avoid making any offensive or inappropriate comments or actions that could be perceived as disrespectful.
2. Stay focused
Keep the conversation focused on work-related topics, at least at first. Avoid discussing personal topics that could lead to inappropriate or unprofessional conversations.
Scenario: During a meeting with your manager, you got a notification on your phone about a recent breaking news.
What would you do?
A) Glance at your phone and start scrolling through the news, because it's breaking and important news that people need to know.
B) Interrupt the conversation to share the breaking news with their manager, assuming that the manager wants and needs to know.
C) Immediately put it away and refocus your attention on the conversation, waiting until the conversation is over to quickly glance at the notification.
3. Listen actively
Show the other person that you are interested in what they have to say by actively listening and responding to their comments. Ask follow-up questions to show that you are engaged in the conversation.
4. Be genuine
It's important to be yourself and to be genuine when building rapport. Avoid trying too hard or coming across as fake or insincere.
Scenario: During a one-on-one meeting, the manager is giving constructive feedback on your performance and areas for improvement.
What would you do?
A) Nod along to the feedback, but do not take it seriously or make any changes to your behavior.
B) Actively listen to the feedback, ask clarifying questions, and respond in a genuine and appreciative manner, showing a willingness to learn and improve.
C) Become defensive and ignore the feedback, making excuses and refusing to take ownership of your improvement areas
Communication is key.
1. Provide daily updates
Jarod would like for you to send him an end-of-day status update:
Ex. Hi Jarod, I would like to provide you with my update for today:
2. Express yourself
If you have something that you're confused about or want to get exposure to, bring it up! It's better to say it early on rather than wait or not express yourself at all.
Ex. As I'm researching more into new companies within the Hybrid Vehicles space, I'm interested in exploring how Genesis Engineering can provide value to the hybrid infrastructure by working with other entities like the local governing bodies. Would love to hear how you view this topic!
Keeping up with your schedule.
1. Schedule 2-3 check-ins per week
Jarod would like to have 2-3 one-on-one meetings with you during the week. He's in the PST time zone, which is 3 hours later than EST. These check-in meetings should generally be set in the morning to have your work assigned.
2. Setting your daily schedule
Jarod usually works starting from 9 AM PST time, which is 12 PM EST. It's best if you start your day anytime after 12 PM so that you can chat/call Jarod if any questions or challenges arise. Also, you can schedule your meetings within his working hours.
We suggest that your Monday to Friday hours be 1 - 5 PM EST to be refreshed to intern after a lunch break. Please send Jarod (jarod@gen-engineer.com) cc'ing MaiLinh (mailinh@careergateway.io) an email confirming your daily schedule.
